Position Summary
Under the general direction of the department director, the Mammography Central Scheduling Specialist is responsible for coordinating all aspects of the scheduling cycle for Mammography, Breast Ultrasound, and Bone Density procedures. This includes order intake via phone and fax, insurance benefit verification, and ensuring all clinical and financial requirements are met prior to final appointment confirmation.
This role also supports clinical assessment processes, insurance authorization, and provides a "help desk" approach to physicians and patients by delivering exceptional customer service and resolving scheduling-related needs.
Essential Functions
- Provide excellent customer service and maintain professional telephone etiquette within a call queue environment
- Receive, review, and clarify physician orders, including medical necessity checks (especially for Medicare patients)
- Verify insurance benefits, coverage, referrals, coordination of benefits (COB), and payment responsibilities
- Calculate patient cost estimates and communicate financial options clearly
- Perform clinical assessments and collaborate with utilization review teams, nurses, and physicians
- Communicate exam preparation instructions, directions, and arrival times to patients
- Maintain accuracy in patient data entry and ensure compliance with regulatory standards
- Support departmental goals by improving patient throughput and minimizing delays, cancellations, and rescheduling
- Assist patients with financial assistance or alternative payment arrangements when applicable
- Demonstrate cultural sensitivity and effective communication with diverse patient populations
Mammography-Specific Duties:
- Verify appropriate exam timing based on insurance and radiologist guidelines
- Obtain prior imaging from external facilities when necessary
- Coordinate closely with Mammography staff to ensure seamless patient flow

- Working knowledge of healthcare practices, particularly in outpatient services
- Ability to review patient medical history and apply insurance utilization criteria
- Understanding of insurance processes including claims, denials, and appeals
- Intermediate computer skills, including Microsoft Office and healthcare systems
- Basic to intermediate math, writing, and spelling skills
- Ability to interact effectively with patients, physicians, and staff
Minimum Qualifications
Education
- High School Diploma or GED - Required
- Associate or Bachelor's Degree - Preferred
Experience
- 2-4 years of experience in a medical environment (hospital, physician office, imaging center, etc.) - Required
- Experience in registration, claims, patient financial services, or related areas - Preferred
- At least 1 year of customer service or call center experience - Preferred
Additional Preferred Qualifications
- Bilingual (Spanish/English)
- Coding certification
- Prior clinical or managed care experience
- Experience in insurance, claims processing, or healthcare scheduling
