Position Summary:
This role provides administrative support by performing receptionist duties, clerical tasks, customer service functions, and non-technical duties within Practices or Departments. The position requires critical thinking, decisive judgment, and the ability to work independently with minimal supervision, especially in stressful environments.
Position Functions:
- Greet patients and visitors warmly, providing a positive first impression of the medical practice.
- Answer phone calls, respond to inquiries, and directs calls to appropriate staff members.
- Schedule patient appointments, manage the calendar for healthcare providers, and ensure efficient use of time slots.
- This includes rescheduling and canceling appointments as necessary.
- Maintain patient records, process patient intake forms, and accurate insurance information.
- Ensure that all patient information is kept confidential and secure.
- Serves as a liaison between patients and healthcare providers, ensuring clear communication regarding patient needs and appointment details.
- Maintain open line of communication with staff and physicians.
- Provides excellent customer service by addressing patient concerns, managing wait times, and ensuring a comfortable environment in the reception area.
- Performs clerical functions such as preparing and sending outgoing mail, distributing incoming mail, maintaining filing systems, entering data and maintaining databases, typing documents and correspondence, photocopying, scanning, and faxing.
- Organizes, coordinates, and schedules meetings and appointments.
- Keeps office area neat and tidy and monitors and orders office supplies.
- Handles information requests, including reviewing files and records, answering inquiries, and responding to incoming work requests.
- Attends and participates in staff meetings, in-service, projects and committees as assigned.
- Adheres to and supports policies and procedures.
- Works scheduled shifts including overtime, when necessary.
- Maintains a neat and professional appearance in compliance to the existing dress code.
- Performing other tasks as assigned
Minimum Qualifications:
- High School Diploma or equivalent acceptable; Associate's degree preferred
- Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision.
- Must be able to work in a stressful environment and take appropriate action.
- Previous experience in a medical office or customer service role is preferred, with a strong understanding of healthcare front desk operations.
Strong communication and interpersonal skills are crucial for interaction with patients and staff effectively. Empath and professionalism are key traits for success in this role.
