Position Summary
The Receptionist provides administrative support and performs clerical, customer service, and non-technical duties within assigned practices or departments. This role serves as a key point of contact for patients, staff, and external partners.
Reports To Office Manager, Supervisor, or Department Director
FLSA Status Non-exempt
Education
- High School Diploma or equivalent (preferred)
- Associate's Degree (preferred)
Required Skills
- Strong critical thinking and decision-making abilities
- Ability to work independently with minimal supervision
- Ability to function effectively in a fast-paced, sometimes stressful environment
- Strong communication and organizational skills
- Ability to handle sensitive and confidential information
Essential Functions
- Prepare statistical reports and perform clerical duties such as:
- Managing incoming/outgoing mail
- Maintaining filing systems and databases
- Typing correspondence and documents
- Copying, scanning, and faxing
- Greet visitors and communicate with patients, providers, and departments
- Answer, direct, and manage phone calls and messages
- Organize, coordinate, and schedule meetings and appointments
- Maintain a clean and organized office environment; monitor and order supplies
- Respond to information requests and inquiries
- Coordinate workflow and maintain records of office activities
- Perform basic accounting functions such as:
- Processing invoices
- Making deposits
- Managing petty cash (if applicable)
Non-Essential Functions
- Perform other duties as assigned
- Participate in staff meetings, in-services, and committees
- Adhere to hospital policies and procedures
- Work scheduled shifts, including overtime if required
- Accept call schedules as directed
- Maintain a professional appearance in accordance with dress code
