Administrative Assistant
Job Summary:
The Department Administrative Assistant plays a vital role in providing administrative and clerical support to ensure the efficient operation of the oncology department. This position involves interacting with other members of the healthcare team to facilitate communication, accurate record keeping while maintaining a compassionate and professional demeanor.
Administrative Support:
- Manage daily operations of the oncology services department.
- Ensure timely and accurate documentation where appropriate.
- Handle incoming calls, direct inquiries to appropriate staff and relay messages if applicable.
- Tumor board and spine conference prep and delivery
- CEs for tumor board and spine conference
- Attends 75% of Tumor Board, cancer committee, and care team meetings
- Manages computer access for new recruits in oncology department as well as Duke One Link account information for staff and providers.
- Puts together orientation binders for oncology and infusion departments.
- Cancer registry verification in CNEXT and time sheet.
- Runs Tumor Board meeting
- Charge verification for infusion
Discharge patient accounts for infusion
Communication Liaison:
- Facilitate communication between oncology team and other departments or providers as needed.
- Maintain and organize electronic and paper documents and files in compliance with legal and regulatory standards.
- Prepare, distribute, and file necessary forms, including PowerPoints and timelines for tumor board.
Assist with path report meetings alongside navigation.
Support for the Clinical Team:
- Assist providers, nurses and other healthcare professionals by preparing and organizing necessary documentation for oncology service line.
- Assist with infusion cross-coverage as needed.
- Monitor inventory of offices supplies and ordering as needed for lead representative.
Education:
- High school equivalent (required).
- Additional coursework or certification in office administration or medical terminology (preferred).
- Experience: Minimum three years of clerical experience.
- Familiarity with oncology-specific terminology.
