Position Summary:

The Patient Access Representative is a non-exempt position that reports to the Assistant Director of Patient Registration. This role involves performing receptionist, registration, and clerical duties related to direct and scheduled patient admissions. The representative is responsible for interviewing patients to obtain relevant account information and verifying insurance coverage. The position requires critical thinking, decisive judgment, and the ability to work independently in a high-pressure environment. Knowledge of medical terminology is strongly preferred. The representative must be able to operate standard office equipment, including computers, printers, copiers, faxes, and calculators, and must demonstrate strong time management and organizational skills.
Key responsibilities include ensuring that all necessary demographic, billing, and clinical information is accurately entered into the registration system in a timely manner, assigning medical record numbers as appropriate. The representative is also responsible for distributing and explaining forms, documents, and educational materials to patients or their families, ensuring that all required signatures for treatment are obtained. Additionally, the representative meets with patients or their caregivers to exchange essential information, clarify the admission process, and address any concerns. The position requires communication with the admitting physician's office, nursing staff, and other personnel to facilitate necessary patient placement and ensure proper coordination. Insurance benefits must be verified, pre-certification or authorization obtained as needed, and required payments, including co-pays and deductibles, collected or referred to financial counselors. The representative must also research patient visit histories to ensure compliance with third-party payer requirements, completing relevant documentation. Furthermore, the role involves collecting co-pays and other funds from patients based on established criteria.
Non-essential duties include checking and stocking supplies as needed and serving as back-up support for other functional areas. Successful candidates will have strong organizational skills, the ability to manage time effectively, and a capacity to work well under stress with minimal supervision.

Minimum Qualifications:

  • High school diploma or equivalent required
  • Three years of directly related experience may be substituted for the required education 
  • Billing or collection experience preferred
  • Computer experience required
