How you’ll contribute 

The Compliance Coordinator for the Dental Residency Program is responsible for ensuring that the program meets all regulatory and accreditation standards, with a focus on maintaining compliance with the Commission on Dental Accreditation (CODA) and other governing bodies. This position will monitor, review, and report on the program’s adherence to institutional and regulatory requirements, working closely with program leadership, faculty, residents, and administrative staff to identify and resolve compliance issues. The Compliance Coordinator will also play a key role in preparing for site visits, audits, and accreditation reviews, ensuring that all documentation and processes are in order.

Key Functions:

  • Regulatory Compliance:
    • Ensure the Dental Residency Program complies with CODA standards, as well as federal, state, and local regulations.
    • Regularly review program policies, procedures, and practices to ensure alignment with accreditation and legal requirements.
    • Monitor changes in dental education accreditation standards and regulations, advising program leadership of necessary updates and adjustments.
  • Accreditation Support:
    • Assist in the preparation of all documentation required for CODA accreditation and other external audits.
    • Coordinate the preparation of materials for accreditation site visits, including self-study reports, resident records, faculty credentials, and clinical documentation.
    • Maintain a compliance calendar, ensuring that all deadlines and reporting requirements are met.
  • Policy Development & Documentation:
    • Develop, maintain, and update policies and procedures that ensure compliance with accreditation standards and regulatory requirements.
    • Create and manage comprehensive records of resident performance, faculty qualifications, and program outcomes as required for compliance reporting.
    • Conduct regular audits of resident files, faculty documentation, and program operations to identify and address compliance gaps.
  • Training & Education:
    • Provide training and guidance to faculty, residents, and staff on compliance-related issues, including policies, regulatory updates, and accreditation standards.
    • Ensure that all stakeholders are informed of changes in compliance requirements and understand their role in maintaining the program’s adherence to regulations.
  • Risk Management:
    • Identify potential areas of risk related to program non-compliance and recommend solutions to mitigate these risks.
    • Serve as a point of contact for internal and external compliance-related inquiries and investigations.
    • Work closely with the Executive Director and legal/compliance departments to address and resolve compliance concerns in a timely manner.
  • Reporting & Continuous Improvement:
    • Compile and submit regular compliance reports to program leadership, identifying trends, issues, and areas for improvement.
    • Lead initiatives to improve the program’s compliance infrastructure and processes, ensuring that compliance standards are not only met but exceeded.

Minimum Qualifications:

  • Education:
    • Bachelor’s degree in healthcare administration, education, compliance, or a related field.
    • Certification in compliance or related areas (e.g., CHC – Certified in Healthcare Compliance) is preferred.
  • Experience:
    • At least 2-3 years of experience in an academic, clinical, or healthcare setting, with a focus on compliance, accreditation, or regulatory affairs.
    • Familiarity with CODA accreditation standards and requirements is a strong plus.
  • Skills & Competencies:
    • Strong understanding of compliance regulations and accreditation processes in dental or healthcare education.
    • Excellent organizational and time management skills, with the ability to manage multiple projects and deadlines.
    • Attention to detail and a proactive approach to identifying and resolving compliance issues.
    • Strong written and verbal communication skills, with the ability to create clear and concise reports and training materials.
  • Proficiency in Microsoft Office and document management systems.

Preferred Qualifications:

  •  Prior experience in compliance coordination in a dental or healthcare education setting.
  • Knowledge of CODA standards, particularly related to dental residency programs.
  • Advanced certification in compliance or accreditation management (e.g., Certified Compliance Professional).
  • Experience conducting internal audits and preparing for accreditation site visits.
  • Familiarity with learning management systems and electronic health record systems.
