Highpoint - Family Wellness Gallatin is a busy, collaborative primary care practice where patient care comes first. How you'll contribute
A Patient Services Representative who excels in this role:
Serve as a welcoming, professional first point of contact for patients and visitors at Family Wellness Gallatin.
Support both patient check-in and check-out, flexing between the two areas based on patient volume and team needs.
Verify patient demographic and insurance information for accuracy, including confirming insurance eligibility and appropriate PCP information.
Schedule patient appointments and assist with general front-office scheduling needs.
Answer and manage incoming telephone calls and patient messages in a timely, professional manner.
Collect patient co-pays and other applicable payments at the time of service using credit card and cash payment processes.
Provide patients with established Good Faith Estimate information when applicable.
Maintain accurate patient information within the electronic medical record and complete applicable front-office documentation.
Scan and upload appropriate documentation into the patient electronic chart.
Monitor front-office workflow and proactively assist teammates when check-in or check-out becomes backed up.
Deliver compassionate, attentive service and recognize when a patient needs immediate assistance, placing patient care and safety first.
Work effectively in a high-volume, fast-paced physician practice supporting four providers who each see approximately 20-30 patients per day.
Collaborate closely with providers and fellow team members to create an efficient, positive patient experience.
May cross-train or float to another practice after becoming fully proficient in the home location.
Perform additional administrative and clerical duties as assigned.
What we're looking for
Applicants should have a high school diploma or equivalent. Additional requirements include:
Required
Previous medical office/front-office experience strongly preferred due to the pace and complexity of the practice.
Working knowledge of patient registration, insurance verification and medical office workflows.
Ability to accurately collect and process patient payments, including credit card and cash transactions.
Strong customer service and interpersonal skills with a patient-first mindset.
Ability to work effectively in a consistently fast-paced, high-volume environment with limited downtime.
Strong attention to detail and ability to accurately retain and apply training and established processes.
Ability to recognize changing workflow needs and proactively assist teammates without requiring continual direction.
Ability to work independently while functioning effectively as part of a larger team.
Positive, professional demeanor with strong communication skills.
Critical-thinking and problem-solving skills with the ability to prioritize competing responsibilities.
Preferred
Approximately 2 years of medical office experience.
Previous experience with patient check-in/check-out, insurance verification and scheduling.
Previous experience working within an electronic medical record/practice management system.
Experience in a busy primary care or physician-practice environment.
Schedule: Monday - Friday, 8am - 5pm
