Position Summary

Position requires utilization of clinical knowledge to schedule appropriate procedures/surgeries per provider's orders. The Surgical Scheduler must schedule office based and hospital procedures consistent with the patient's diagnosis and procedure request. Also requires excellent customer service skills with patients, employees, and the public. The Surgical Scheduler must be able to respond to both written and oral correspondence regarding scheduling changes/cancellations in a timely, accurate manner. Individual must be organized, and be able to manage demanding workload with accuracy.

Reports to: Clinic Manager

Responsibilities of the Position

Schedule all outpatient procedures for MD and NP

Schedule surgeries for GI, Urology, Ortho, and General Surgery.

Schedule inpatient procedures for MD and NP when necessary

Schedule all procedures for Wake Forest Endoscopy Center

Screening appointments with patients one on one for procedures

Project owner of Ticklers, chart transfers from old Athena into new Athena.

Adjust, move or add on any procedures as necessary for all locations

Fax orders to hospital for outpatient procedures

Obtain cardiac, neurology and primary care clearances for patient procedures

Communicate with drug representatives with updates to kits used for colonoscopies

Gather, organize and fax weekly schedule for Wake Forest Endoscopy

Gather, organize and fax demographics, insurance information and history & physical for each patient having procedure at Wake Forest Endoscopy

Communicate with Wake Forest Endoscopy Center concerning patients' procedures and insurance information

Provide patient education when necessary for procedures and tests being performed

Obtain prior authorizations for procedures

Speak to insurance companies one on one to assist and ensure claims are paid on patient accounts

Work unpaid claims

Post and log insurance payments for Wake Forest Endoscopy EOB

Assist patients when they come into the office or call in to check on billing statement

Take payments over the phone when patients call in

Upload all insurance checks and or credit card payments that come to the office into Athena for processing

Build, apply and adjust schedule templates for procedures

Prepare exam rooms for patients, including cleaning surfaces and restocking supplies

Triage patients including gathering health history, and information about current medical issues

Prepare lab/x-ray orders for tests ordered by providers

Other duties as assigned.



Minimum Education

High school diploma or equivalent is required.

Required Skills

Critical thinking skills, decisive judgment, and the ability to work with minimal supervision.

Minimum Work Experience

Minimum 1-2 years of Medical Office experience is preferred.
