Position Summary:

Reports to: Patient Access Supervisor-Sch/PreReg
FLSA: Non-exempt

Schedules patient tests, procedures, and admissions; secures pre-certification and authorization numbers, entering them into the scheduling or registration system; accurately records insurance information; and handles incoming phone calls.


Minimum Qualifications:
Education:

  • High school diploma or equivalent required. 
  • Alternatively, a minimum of three years of directly related experience may be substituted for the required education.

Minimum Work Experience:

  • Prior scheduling experience in a healthcare environment is strongly preferred
  • Experience with medical terminology, billing, and/or collections is preferred
  • Proficiency with computers is required

Required Skills:

  • Strong critical thinking skills, decisive judgment, and the ability to work independently with minimal supervision
  • Ability to function effectively in a high-stress environment
  • Strong organizational and time management skills
  • Ability to prioritize tasks based on patient and department needs
  • Proficiency in operating standard office equipment, including but not limited to computers, copiers, telephones, fax machines, and scanners

Essential Functions;

  • Schedules all patients for ancillary, surgical, and medical tests, procedures, and admissions, ensuring no conflicts with personnel availability
  • Notifies patients or physician office staff of out-of-network providers or any issues that may impact benefits
  • Provides patients and physician office staff with special instructions, testing requirements, and any necessary documentation
  • Reviews scheduling reports for the following day to ensure patient registration staff are informed, appropriate testing is performed, and necessary personnel are available
  • Obtains physician orders and authorization/pre-certification and enters outpatient procedures into the Order Entry System
  • Ensures accuracy and consistency between the scheduling module and admissions module for patients being admitted for services
