Position Summary:

The Scheduler is responsible for coordinating and scheduling patient testing, procedures, and admissions while ensuring accurate documentation and insurance verification. This role requires excellent organizational and communication skills to effectively interact with patients, healthcare providers, and insurance companies.

  • Schedule all patient appointments for ancillary services, surgical procedures, and medical tests, ensuring availability of staff and resources
  • Obtain and enter accurate insurance information, including pre-certifications and authorizations, into the scheduling or registration system
  • Inform patients and physician offices of out-of-network providers, benefit reductions, and any special instructions or testing requirements
  • Maintain daily scheduling reports to ensure seamless patient registration and appropriate staffing for procedures
  • Retrieve and validate physician orders and necessary pre-certifications for scheduled services
  • Accurately enter outpatient procedures into the Order Entry System and ensure consistency across scheduling and admissions modules
  • Answer incoming calls, address inquiries, and provide scheduling support as needed
  • Operate standard office equipment, including computers, copiers, telephones, fax machines, and scanners


Minimum Qualifications:

Education:

  • High school diploma or equivalent required
  • At least three years of directly related experience may be considered in place of the required education

Work Experience:

  • Prior scheduling experience in a healthcare setting strongly preferred
  • Knowledge of medical terminology, billing, and collections is beneficial
  • Proficiency in computer systems and scheduling software is required

  • Ability to work independently and prioritize tasks in a fast-paced environment
  • Excellent organizational and time management skills
  • Effective communication and customer service skills
  • Ability to handle stressful situations with professionalism
  • Perform additional administrative duties as assigned to support department operations
