How you'll contribute

A Front Desk Representative who excels in this role:

  • Answer phones in courteous and appropriate manner in accordance to hospital policy
  • Maintain competency in electronic medical record including insurance verification, appointment scheduling, registration, collection of copays and end of day process.
  • Monitor physician schedules in electronic medical record, monitor for appropriate scheduling, cancellations, etc.
  • Send tasks if applicable to either Physicians or Clinical staff
  • Assist in completing patient forms including FMLA, insurance forms, etc and submitting forms to physicians to review and sign. Responsible for sending out forms either by mail or fax and responsible for collecting fee for form completion.
  • Scan paperwork that needs placed in the patients EMR including outside labs, testing, forms, etc.
  • Complete all office tasks each day before close of business.
  • Assist with incoming mail and sorting mail to appropriate staff. Same for incoming faxes.
  • Assist in obtaining release of medical record form if outside records are needed. Responsible for scanning outside records into electronic medical record.
  • Assist is obtaining authorizations for patient tests and procedures.
  • Assist other front office staff as needed.
  • Surgery Scheduling - responsible for scheduling all surgical procedures for all physicians within the practice. 
  • Responsible for managing work queues (schedule order and referrals) and notification of all departments of ordered testing. 
  • Maintain proficiency in use of EPIC system for placing orders/prep for case and documenting needed information in appropriate place. This also includes scanning.
  • Responsible for obtaining correct CPT and ICD 10 codes prior to obtaining authorizations for surgical procedures.  Will work with coding/billing staff to ensure that appropriate coding procedures are gathered. 
  • Responsible for ensuring that patient's insurance is active and eligible for date of surgery.
  • Responsible for contacting insurance companies and obtaining authorizations for all surgical procedures being performed.      Authorizations must be obtained prior to surgical procedure being performed.
  • Responsible for notifying operating rooms, ASU, Centralized Scheduling and insurance companies when there are changes in procedure and/or dates.
  • Responsible for Scheduling all Patient testing and authorizations- MRIs, CT Scans, etc.
  • Responsible for informing patient of all testing/surgery information, preps, special instructions, pretesting, etc.
  • Responsible for the coordination of referral appointments 
  • Understanding and obtaining insurance authorizations for patient x-rays, labs, MRIs and all testing, when required by patient's insurance plan.      Use of the insurance companies' websites, i.e. Navinet, UPMC, etc. system for insurance authorization verification.

What we're looking for

Applicants should have:

 

  • Experience: Required: Experience working in the medical field in either a Physician's office, Clinic or other related medical office settings. Preferred:  At least 3-5 years experience in a medical office setting.
  • Education: High School Diploma or equivalent Required. 
  • Certification: Preferred: Certification of a Medical Secretary, MOA or MOT; CPR certification.
