Wage Range: $28.79 - $40.89/hr

Position Summary:

Safety Sensitive Position
Performs various administrative duties which are integral to the day-to-day operations of the educational infrastructure of the Internal Medicine Residency Program. 

  • Under the direction of the Program Director collaborates and coordinates the resident recruitment process, resident and preceptor agreements, resident credentialing, database integrity, and orientation for the Residency Program.
  • In collaboration with the GME Department participates in the coordination of 3rd and 4th year medical student, and mid-level rotations, clerkships, and audition rotations. 
  • Collaborates with medical faculty, resident physicians, and staff to achieve program objectives and comply with program accreditation guidelines.
  • Knows and complies with ACGME guidelines and milestones.

Reports to: Designated Institutional

FLSA:  Exempt  

Essential Functions:

  • In conjunction with Program Leadership, develops and maintains program policies and procedures. 
  • Educates staff, residents, and faculty in proper adherence to policies and procedures.
  • Assists Program Leadership in meeting and complying with the current standards established by regulatory and accreditation bodies. 
  • Understands and applies accreditation, board, and institutional requirements including state and federal regulations.
  • Identifies the Competencies and understands their implementation and Program and Residency compliance.
  • Provides management support to residency program personnel (faculty, resident, and staff) by interpreting organizational and department policies, standards, operational procedures, and guidelines.
  • Acts as a liaison/point of contact between the Program, Program Leadership, and clinical sites outside of Trios Health.
  • Manages, coordinates and participates in accreditation site visits, including preparation of site visit documentation.
  • Develops and creates resident and program evaluation reports, such as trending data to identify areas for improvement and tracking of data demonstrating the effect of interventions.
  • Updates ADS annually with Program data and semi-annually with resident Milestone data.
  • Administers residents’ remediation and adverse actions process using established policies and procedures. Has knowledge of personnel and human resources issues.
  • Plans and manages the day-to-day activities of the residency including rotation schedule development, didactic scheduling, resident evaluation process completion, faculty and MEC meeting preparation and other meetings and activities as requested. Will coordinate with IM Program Coordinator for schedule development.
  • Manages and coordinates the interview season including processing of applicants, evaluation of applications for completion, notify applicants and schedule interviews, correspond with applicants, gather interview summary information, and coordinate contracts with applicants who match.
  • Plans, organizes and schedules program specific new resident orientation. Assists residents in becoming acclimate to the educational setting and Trios Health policies and procedures.
  • Maintains accurate and complete confidential files and records of residents. Monitors duty hours, evaluations, out-patient rotations, procedure logs and scholarly activities for accuracy and completion.
  • Schedules and proctors in-service/in-training annual exams.
  • Identifies and implements processes to improve quality and customer service
  • Understand legal issues with regard to employment, visas, discipline, and healthcare.
  • Utilizes the resources and websites involved in medical education including networking opportunities and stays up to date on upcoming changes for the Program.
  • Provides solutions for data management issues.
  • Supports the duties and responsibilities of the Program Director.
  • Performs special project work and other duties as requested or directed by Program Leadership.

Administrative Responsibilities

  • Oversee day-to-day operations of the Internal Medicine Residency Program, Medical Students.
  • Manages resident schedules including vacation, sick leave, and all other scheduling documentation in compliance with policies.
  • Establish and maintain medical library resources as defined by the requirements of the ACGMEand in consideration of the needs of the residents.
  • Produces, distributes, and maintains an IM departmental manual for residents in coordination with the FM Program Coordinator and GME Department.
  • In collaboration with the GME department coordinates events (resident lunches, retreats, orientation, and graduate banquets etc.).
  • Maintain database and/or paper files of current and alumni residents, (New Innovations, hardcopies, etc).
  • In collaboration with the GME department coordinates CME activities and attendance. Coordinates Specialty In-Training Examination.
  • Interacts with clinics for scheduling residents.
  • Maintains files of IM faculty leave of absence, vacation, daily schedules, faculty development funds, conferences, scholarly activity, etc.
  • Manages all IT needs for maintenance of program including ERAS, Specialty Boards, New Innovations, Tracking, NRMP, ITE survey and national reports

Evaluation/Credentialing

  • Communicates evaluation results to Program Directors and DIO as applicable.
  • Maintains documentation of Board Certification.
  • Manages and arranges all requirements for clinical certifications/recertification’s, hospital credentialing, insurance requirements for residents.
  • In collaboration with the Program Director, DIO, and Physician recruiting department manages and coordinates faculty recruitment.
  • Ensures residents are knowledgeable with all Trios Health, Clinic, GME Department and IM Specific policies and procedures.
  • Resident Recruitment.
  • Partners with the Program Director and DIO to establish recruitment processes and standards.
  • Utilizes the Electronic Residency Application Service (ERAS) and National Resident match Program (NRMP) processes.
  • Coordinates and communicates effectively with the marketing department for recruitment needs and materials.
  • Submits rank order list to NRMP via internet with the Program Director and DIO approval.

Program Accreditation

  • Understand and communicates accreditation requirements for applicable site accreditation.
  • Supports and accommodates site visit requirements and participants.

Medical Student Support

  • Where possible identify clinic rotations support third and fourth year medical student electives.
  • Advise and support student (s) regarding the residency application process.
  • Provide ongoing communication to the of program(s) and other pertinent data of relevance to the medical student(s)

Institutional Support

  • Should duties be expanded to act as the Institutional Coordinator, a stipend shall be given for the additional duties.
  • Manages staff relations including performance management, staff satisfaction, and conflict management.
  • Performs and oversees scheduling, staff development, recruitment, payroll, and student engagements.
  • Monitors departmental budgets, regulatory compliance, departmental contracts, and vendor relations. 
  • Determines and justifies needs for systems/equipment/supplies purchases, monitors usage, and oversees proper working order and/or stock supplies.
  • Creates and fosters an environment that encourages professional growth.
  • Ensures department stays focused on their important role in the continuum of care.

Minimum Qualifications:

Education:

  • Bachelor’s degree - Required, Master's degree Preferred

Licenses/Certificatons:

  • TACME Certification preferred

Work Experience:

  • 6 months to 1-year related experience
  •  Minimum two (2) years in GME or an academic setting preferred

Required Skills

  • Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision. 
  • Must be able to work in a stressful environment and take appropriate action.
