Summary:

Serves as coordinator for the hospital’s internet-based transcription

system, and liaison between M*Modal Transcription and HIM.

Edits all transcribed documents in the pending queue. Support providers and

hospital staff in their dictation and transcription needs and ensures appropriate

mechanisms for distribution of transcribed documents.  Serves as

Super User for the Electronic Health Record and Horizon Patient Folder:

Troubleshooting user needs, assisting with user training, coordinating with

NTT Data, HPF and/or Cerner helpdesk teams to identify and

resolve system issues.  

Essential Functions:

1.       Coordinates with the transcription company and account manager (M*Modal) to ensure receipt of transcribed reports within required time frame(s).

2.       Edits and monitors transcription pending list, facilitating corrections as necessary, serves as a liaison between the transcription company and the hospital to ensure reports are received for patient care, chart completion, and coding.

3.       Monitors the transcription system and operative schedule for preoperative history and physicals to ensure Outpatient Surgery and Labor and Delivery reports are distributed before surgery.

4.       Monitors the dictation/transcription system to ensure reports are distributed to the proper location and flowing in the electronic health record application(s) for ongoing compliance with standards.

5.       Monitors the Hub 5 Monitor website, HPF error and work queues on a daily basis.

6.       Responsible for maintenance/updating of tables in HPF and M*Modal, along with adding and training new users.

7.       Ensures data integrity in the HPF system by using the Adjust Document Index utility where indicated and/or Cerner in-error processes. Merge Medical record numbers in Pbar and Cerner as indicated.

8.       Utilizes mainframe computer system to research reports to ensure assignment to HPF patient encounter as needed.

9.       Updates daily billhold report from On Demand A130 report for outstanding accounts and reports to HIM Director.

10.   Coordinates with Tenet IT support team to identify and resolve technical issues impacting HIM application performance.

11.   Responds to customer concerns in a timely and courteous manner.

12.   Uses established release of information procedures when releasing and faxing patient information.

13.  Works duplicate medical record report daily and merges accounts when necessary.

Required Education: 

High school diploma or equivalent required

Associate’s degree is required
